Booking a trip for 10-15 couples

A close friend asked me the other night if i would put together the arrangements for his wifes 60th birthday party. He wants to take her to Vegas, but he wants 10-15 other couples to go as well. Therefore id be looking at booking 10-15 rooms, 20-30 flights, etc. My wife and i go to Vegas a couple times a year and always have offers to stay at various places. What is the best way to get the best rates for a large group like this for hotel. Im also wondering if it might be cheaper to just charter a flight for everyone instead of going commercial. Does anybody have any experience doing this? Would any of the hotels offer such a service? I generally wouldnt go to Vegas with a group as i hate trying to plan stuff for everyone and dont want others planning for me. He%26#39;s a good friend though and is relying on my knowledge of Vegas to do so. I told him though, under no circumstances are we planning everyones itenerary once we get there. We are going to give people 2 times and locations during the day that anyone can meet up. If you show, thats cool. If not, then the same goes.

Sorry to have to tell you this but you aren%26#39;t going to get a lot of joy in terms of getting special rates from Vegas hotels. These are hotels that regularly host conventions for thousands of delegates and a party of your size isn%26#39;t going to qualify for anything special. Most hotels have a number on their website that you need to call if you want to book above a certain number of rooms so you can shop around but I wouldn%26#39;t expect serious discounts.





Can%26#39;t offer any help about chartering planes. Sorry.

I%26#39;m doing the same thing for a friends 50th.





I had looked into chartering a plane to fly 20 of us the 375 miles to Vegas and it was A LOT cheaper to book individual regular flights. Fuel prices have driven the price through the roof. I checked with our local carriers instead of the hotel. That might be another source.





As far as room go, blagger is absolutly right. Unless you are booking hundreds of room you won%26#39;t get a break.





I just gave everyone the birthday gal%26#39;s itinerary and listed some flight and hotel sources as well as some booking advice (book a room and cancel if you get a better rate as well as having them check often) and let them make their own specific reservations.





You could do all the booking for them but you won%26#39;t get a price break.





I also made up a CD to send out with the invitations with some fun Vegas music to get them in the spirit.

I am currently trying to do the same thing with my high school graduation class turning 40 next year. Even with the need for over 100 rooms, few hotels have responded to my request, and most haven%26#39;t offered any major discounts.





What I would suggest is that if any of the people in your group have player cards, that might help with the room rate, or maybe a few free rooms.





Your are correct in not making a daily itenerary. I even told my classmates that we%26#39;d have one or two functions planned, but the rest of the time they are on their own.





Are all the couples flying out of the same airport? That alone is a major headach to plan with all the new restrictions. You might want to consider a travel agent if you%26#39;re taking that part on. They may surprise you and have a better package to offer your group that you aren%26#39;t able to find online.

This, my friend, is when you need to take advantage of a travel agent. They can utilize the package negotiations they already have. At least this way then can do the the initial work (and it won%26#39;t cost you anything)!! My advice anyway (and I%26#39;m a former travel agent!)
